Dynamic Collateral Monitor

Check the receivables behind every borrowing base against the borrower's own ledger

Overview

What you are buying

The Dynamic Collateral Monitor connects, with the borrower's authorization, to the accounting system or ERP behind an asset-based loan, such as NetSuite, and reconciles the receivables reported on each borrowing base certificate with the borrower's own ledger, invoices and cash receipts. Differences, invoices with no matching activity and changes in aging, dilution and concentration are flagged for your collateral analysts. Credit officers decide what to do about them, and every decision is recorded.

The problem it solves

Asset-based lenders advance against receivables the borrower reports, usually on a borrowing base certificate and an aging report prepared in a spreadsheet. Analysts check those figures against the last field exam and whatever backup the borrower sends, but between exams they cannot easily see whether the invoices exist, have been paid or have been reissued. Fictitious or recycled receivables, unreported dilution and growing concentrations can go unnoticed until a field exam or a default, and the lender's own record of what was checked is spread across emails and workbooks.

  • Borrowing base certificates are checked against backup the borrower chooses to send
  • Invoices with no shipment, no payment history or a reissued number are hard to spot between field exams
  • Dilution, aging and concentration changes are calculated by hand each period
  • The evidence of what was checked, and what was decided, is scattered across workbooks

Who uses it

  • Asset-based lending teams at banks, credit unions and commercial finance companies
  • Collateral and portfolio analysts who review borrowing base certificates
  • Credit officers and loan committees who approve availability and exceptions
  • Field examiners who plan and scope collateral exams
  • Credit review, internal audit and examiners, who need evidence of collateral monitoring

A short walkthrough

Illustrative screens with fictional sample data. They show the workflow, not any client’s data or configuration, and the layout of the product itself differs. A live demonstration uses the product with sample data.

  1. Step 1

    The certificate queue

Analysts start from this period's borrowing base certificates, with the difference between reported and recalculated availability for each.

Analysts start from this period's borrowing base certificates, with the difference between reported and recalculated availability for each.
  2. Step 2

    Reported against recalculated

The certificate is rebuilt from the borrower's ledger as of the same date, and each difference is explained.

    Main differences

    • $170,000 of invoices on the certificate not found in the ledger

    • Debtor 5520 above the 25% concentration limit
The certificate is rebuilt from the borrower's ledger as of the same date, and each difference is explained.
  3. Step 3

    Invoice flags

Invoice-level tests show which receivables need a closer look, and why.

Workflows

The principal workflows

  1. Connect

The borrower authorizes a read-only connection from their ERP or accounting system, or agrees a scheduled file. The lender's analyst maps the borrower's ledger to the loan's eligibility criteria.

    • Borrower invited to the borrower workspace
    • Borrower's administrator authorizes a read-only connection to NetSuite or another supported system
    • Customer, invoice, credit memo and cash receipt data mapped to the monitor's model
    • Eligibility criteria from the loan agreement configured: aging cutoffs, cross-aging, concentration limits, excluded debtors
    • First reconciliation run and reviewed with the borrower
  2. Reconcile

Each borrowing base certificate is compared with the borrower's ledger as of the same date. Totals, aging buckets and ineligibles are recalculated from the source data and differences are shown line by line.

    • Borrower submits the borrowing base certificate and aging report
    • Ledger data pulled as of the certificate date
    • Gross receivables, aging and ineligibles recalculated from the ledger
    • Differences from the certificate listed by debtor and invoice
    • Recalculated availability shown beside the borrower's figure
  3. Test

Invoice-level tests look for receivables that may not be genuine or collectible: invoices with no matching sales activity, reissued invoice numbers, credit memos after period end, and debtors that never pay.

    • Invoices tested against sales orders, shipments and cash receipts where available
    • Duplicate or reissued invoice numbers and re-dated invoices flagged
    • Dilution measured from credit memos, write-offs and adjustments
    • Concentrations and cross-aging calculated by debtor
    • Flags explained with the invoices behind them
  4. Decide

Analysts review the flags, request explanations or debtor verifications, and recommend availability. A credit officer approves the recommendation or any exception to the loan's terms.

    • Analyst reviews each flag and records a finding
    • Questions sent to the borrower through the workspace
    • Debtor verification requested for selected invoices and the response recorded
    • Availability recommendation written with reasons
    • Credit officer approves, adjusts or returns the recommendation

How access is controlled

  • Recommending availability and approving it are separate: analysts recommend, credit officers approve, and nobody approves a recommendation they prepared.
  • Borrower users see only their own company and the requests sent to them. Flags and findings stay internal unless the lender chooses to share them.
  • Roles are configured with you during implementation. You can rename them, create custom roles, and limit them by portfolio, region or team, and every permission change is recorded in the audit trail.
  • Lender staff sign in through your identity provider, and roles can follow its groups. Outside examiners, auditors and regulators get temporary access with a defined scope and an end date.

Security and privacy

How your data is protected

Single sign-on

Lender staff sign in through your identity provider, so your password and multi-factor policies apply.

Read-only, borrower-authorized connections

ERP connections are authorized by the borrower, limited to the records the monitor needs, and can be revoked by the borrower or the lender at any time.

Role-based access

What each person can see and do follows their role; recommending availability is separate from approving it, and borrowers see only their own company.

Encryption and keys

Client and borrower data is encrypted, with keys Moraph staff cannot use without explicit, time-bound authorization.

Complete audit trail

Every data pull, view, change, decision and export is logged with the person and time, and cannot be edited.

Data residency

Data stays in the hosting region you choose: the United States, the United Kingdom or Australia.

Company-wide controls, independent audits (SOC 2 Type II and ISO/IEC 27001) and data residency are described in our Trust Center, where you can request the evidence pack.

Exports, access and evidence

  • Every report can be exported to CSV, and summary and evidence reports to PDF. Reports can be scheduled to arrive by email for the people entitled to see them.
  • Each report can be filtered by borrower, portfolio and period, and the filters saved, so analysts and credit officers can keep their own views.
  • Reconciliation, flag and approval data is available through the Moraph Work API, and can be delivered to your data warehouse or credit reporting tools.
  • Reports respect each viewer's role: analysts see their assigned borrowers, credit officers see their portfolio, and borrowers see none of the lender's internal reports.
  • Regulatory and audit reports can be run as of a past date and give the same result each time. Running and exporting a report is itself recorded in the audit trail.

Deployment

Where and how it runs

Moraph cloud

Hosted and operated by Moraph in the United States region. United Kingdom and Australia regions are available for lenders outside the US.

Dedicated environment

A single-tenant environment for lenders whose policies require isolation, scoped in the proposal.

Branded borrower workspace

The borrower-facing pages carry your institution's name and branding.

Security controls, independent audits and data residency are set out in our Trust Center. Engagement models and what drives a quotation are on Working with Moraph.

Implementation

What a rollout involves

The general phases are on Working with Moraph. For this product, they involve the following.

Portfolio set-up

We load your ABL borrowers, loan terms and advance rates from your loan system and agree the certificate schedule for each. We need a loan system extract and a contact from your ABL team.

Eligibility configuration

Each borrower's eligibility criteria are configured from its loan agreement, and your credit team reviews them before use.

Borrower onboarding

We help each borrower authorize the ERP connection or set up a scheduled export, using a borrower guide carrying your name.

Back-testing

Earlier certificates are reconciled against the ledger history, so analysts see how the monitor's results compare with what they already know.

Workflow and roles

Review steps, approval levels, exception rules and roles are configured to match your credit policy.

Training and go-live

Analysts, credit officers and field examiners are trained on their own workflows, and borrowers are moved over in groups you choose.

Limitations

What it does not do

Worth knowing before you evaluate it.

  • The monitor does not prove that a receivable is genuine. It compares reported figures with the borrower's own records and flags patterns worth checking; a borrower who falsifies its ledger can still mislead it, so field exams and debtor verifications remain necessary.
  • It needs the borrower's authorization and cooperation. If a borrower will not connect its system or provide exports, the monitor works only from the certificates and backup supplied.
  • Connections to systems other than NetSuite depend on the system and the borrower's edition; some will need a scheduled export instead of a live connection.
  • It does not decide availability or declare a default. Credit officers approve availability, reserves and exceptions under your credit policy.
  • It covers accounts receivable. Inventory, equipment and other collateral classes are recorded as reported but not reconciled to source systems.
  • It is not a loan servicing system. Advances, payments and interest stay in your loan system.
  • It does not perform UCC lien searches or filings.
  • Debtor verification responses depend on account debtors replying; the monitor records requests and responses but cannot compel an answer.

Evaluation checklist

What to test in a demonstration or pilot

Questions worth putting to us, and to any other vendor you are considering.

  1. Pick a borrower who already shares exports and reconcile a recent certificate with the monitor
  2. Compare the monitor's ineligibles with your analyst's own calculation for the same period
  3. Review whether each invoice flag explains itself well enough for an analyst to act on
  4. Ask a borrower's controller to walk through authorizing the read-only connection
  5. Check that credit officers can see the reasons behind every availability recommendation
  6. Confirm role separation: who can recommend availability, approve it and change eligibility criteria

Questions

Frequently asked questions

Does the borrower have to connect its ERP?

The monitor works best with a read-only connection the borrower authorizes, and many loan agreements already give the lender rights to this information. Where a borrower prefers, a scheduled export in an agreed layout can be used instead.

Can the monitor change anything in the borrower's system?

No. Connections are read-only and limited to the records the monitor needs, and the borrower can revoke them.

Does it replace field exams?

No. It gives analysts a view between exams and helps examiners decide where to look. Field exams and debtor verifications are still needed.

Which systems besides NetSuite are supported?

Others are connected by API where the system allows, or by scheduled export. Tell us which systems your borrowers use and we will confirm the approach for each during scoping.

How is it priced?

As a subscription, usually measured by the number of borrowers monitored, with implementation charged separately. See Working with Moraph for what drives a quotation.

Is there an accessibility conformance report?

Ask for one through the procurement request form at /how-to-buy/request, naming the version you are evaluating.
