ATM & Cash Logistics Optimizer

Forecast cash demand at every ATM and branch, and order only the cash you need

Overview

What you are buying

The ATM & Cash Logistics Optimizer forecasts cash demand for each ATM, branch vault and teller cash recycler from its own history, calendar and local events. It recommends replenishment orders that weigh the cost of idle cash against delivery costs and the risk of running out, within your holding limits and carrier schedules. Your cash operations team reviews and approves every order, and deliveries and discrepancies are tracked through to reconciliation.

The problem it solves

Many banks and credit unions set ATM and branch cash orders from fixed par levels, spreadsheets and the judgment of branch staff. Machines and vaults hold more cash than they need to avoid running out, and that cash earns nothing while it sits there. Orders are placed by phone or email, carrier charges are hard to check against what was ordered, and discrepancies between ordered, delivered and counted cash are tracked by hand. Few teams can say how much idle cash they carry or what each delivery costs.

  • Par levels are set once and rarely revisited, so cash builds up in machines and vaults
  • Holidays, paydays and local events are handled from memory
  • Orders, carrier charges and deliveries are reconciled by hand
  • There is no clear view of idle cash or the cost of each delivery

Who uses it

  • Cash operations and branch operations teams at banks and credit unions
  • Branch managers responsible for vault and teller cash
  • Treasury and finance teams who answer for the cost of non-earning assets
  • Vendor management teams who oversee armored carriers and cash-in-transit providers
  • Internal audit and security officers, who need evidence of cash controls

Workflows

The principal workflows

  1. Forecast

Each ATM, vault and recycler gets its own demand forecast from its withdrawal and deposit history, the day of the week, paydays, holidays and any local events your branches record.

    • Dispense, deposit and balance data arrive from your ATM and teller systems
    • Data checks flag devices with missing or inconsistent readings
    • Demand is forecast by device, location and denomination
    • Holidays, paydays and recorded local events adjust the forecast
    • Branch staff can add known events, which are reviewed before they apply
  2. Plan

The Optimizer recommends when to replenish each location and how much to order, balancing the cost of holding idle cash, the carrier's charges and the risk of running out, within your limits.

    • Current balances and forecasts are compared with each location's limits
    • Delivery days are matched to carrier schedules and route constraints
    • Order amounts and denomination mix are recommended for each location
    • The cost of holding, delivery and out-of-cash risk is shown for each option
    • Recommendations are grouped into a replenishment plan for review
  3. Order and deliver

Cash operations approves the plan, and orders are exported in the format your carrier or cash provider accepts. Each delivery is tracked from order to confirmation.

    • Cash operations analyst reviews and adjusts the plan
    • Orders above your set threshold go to a manager for approval
    • Approved orders are exported to the carrier or cash provider
    • Delivery confirmations are recorded against each order
    • Exceptions such as missed or short deliveries are flagged
  4. Reconcile and review

Ordered, delivered and counted amounts are compared, carrier charges are checked against completed services, and forecast accuracy and idle cash are reviewed over time.

    • Delivered and counted amounts are compared with each order
    • Discrepancies are opened as cases and assigned for investigation
    • Carrier invoices are compared with recorded services
    • Forecast accuracy is tracked by location and denomination
    • Limits and parameters are reviewed and changes approved

How access is controlled

  • Preparation and approval are separated: nobody approves an order, limit or parameter change they prepared themselves, and significant discrepancy closures need a second person.
  • Roles are configured with you during implementation. You can rename them, add custom roles, and limit them by region, branch or device group, so a branch sees only its own cash.
  • Every permission change is recorded in the audit trail with who made it and when, and access review reports list each person's roles for periodic certification.
  • Staff sign in through your identity provider, and roles can follow its groups. Auditors and examiners get temporary read-only access with a defined scope and an end date, rather than shared accounts.

Exports, access and evidence

  • Every report can be exported to CSV, and summary and evidence reports to PDF. Reports can be scheduled to arrive by email for the people entitled to see them.
  • Each report can be filtered and the filters saved, so a regional analyst or the cash operations manager can keep their own views. Reports that need a different shape can be built in your own tools from the data described below.
  • Forecast, order, delivery and discrepancy data is available through the Moraph Work API, and can be delivered to your data warehouse or business intelligence tool alongside other branch and finance data.
  • Reports respect each viewer's role: a branch manager sees their branch, the cash operations manager sees the whole network, and delivery schedules are shown only to the roles that need them.
  • Control and audit reports can be run as of a past date and give the same result each time. Running and exporting a report is itself recorded in the audit trail.

Deployment

Where and how it runs

Moraph cloud

Hosted and operated by Moraph in the United States region. United Kingdom and Australia regions are available for institutions outside the US.

Dedicated environment

A single-tenant environment for institutions whose policies require isolation, scoped in the proposal.

With a managed service

Optionally run alongside a Moraph managed service for parameter tuning support and platform administration.

Security controls, independent audits and data residency are set out in our Trust Center. Engagement models and what drives a quotation are on Working with Moraph.

Implementation

What a rollout involves

The general phases are on Working with Moraph. For this product, they involve the following.

Data mapping

We map your ATM, teller and vault data to the Optimizer's model and agree the file or API schedule. We need history extracts and contacts from your ATM and branch systems teams.

Locations and limits

Every ATM, vault and recycler is set up with its capacity, insurance and policy limits, denominations and the carrier that serves it.

Carrier setup

Carrier schedules, cut-off times, charges and order file formats are configured with your vendor management team and tested with each carrier.

Forecast calibration

Forecasts are run against your history and reviewed with your cash operations team, and planning parameters such as cost of funds are agreed and documented.

Shadow planning

The Optimizer recommends orders alongside your current process for the period you choose, and differences are reviewed before you rely on it.

Training and go-live

Analysts, branch managers and approvers are trained on their own workflows, and regions can be moved over in stages.

Limitations

What it does not do

Worth knowing before you evaluate it.

  • Moraph does not hold, move, store or insure cash. Orders are fulfilled by your carriers, cash providers and Federal Reserve Bank or correspondent under your own agreements.
  • The Optimizer recommends orders; your staff approve them, and orders above your thresholds need a second approver.
  • Forecasts depend on the completeness and quality of the device and branch data you provide, and cannot anticipate events nobody records.
  • It does not monitor ATM hardware or dispatch technicians; it uses device status from your existing monitoring system.
  • It does not place orders with the Federal Reserve directly; it produces the quantities your team orders through the channel you already use.
  • It does not settle or reconcile ATM network transactions or handle cardholder disputes.
  • Holding limits, order thresholds and the cost-of-funds rate are your institution's decisions; the Optimizer records and applies them.
  • Physical security procedures for cash handling remain your institution's responsibility under its security program.

Evaluation checklist

What to test in a demonstration or pilot

Questions worth putting to us, and to any other vendor you are considering.

  1. Load an anonymized history for a sample of ATMs and branches and compare the recommended orders with what you actually ordered
  2. Review a forecast for a location you know well and check how holidays and local events are handled
  3. Build a replenishment plan and follow an order through approval and export in your carrier's format
  4. Record a delivery discrepancy and follow it to closure
  5. Review the idle cash report with your treasury team using your own cost-of-funds rate
  6. Confirm role separation and that delivery schedules are visible only to the roles that need them

Questions

Frequently asked questions

Does Moraph handle or hold our cash?

No. Moraph provides the software. Your carriers, cash providers and Federal Reserve Bank or correspondent move and supply cash under your own agreements.

Which carriers does it work with?

Orders are exported in the file format each carrier or cash provider accepts. Formats are configured and tested with your carriers during implementation.

Can branch staff override a recommendation?

Branch managers can record events and request extra deliveries, and analysts can adjust orders. Every change from the recommendation is recorded with a reason, and orders above your threshold need approval.

Does it cover teller cash recyclers and vaults as well as ATMs?

Yes. ATMs, branch vaults and teller cash recyclers are each forecast and planned as their own locations.

How is it priced?

As a subscription, usually measured by the number of ATMs and branches covered, with implementation charged separately. See Working with Moraph for what drives a quotation.

Is there an accessibility conformance report?

Ask for one through the procurement request form at /how-to-buy/request, naming the version you are evaluating.
