Overview

What you are buying

The Credentialing & Privileging Portal takes a practitioner from application to approved privileges in one system. It collects the application, runs primary-source checks against licensing boards and exclusion lists where they can be automated, assembles the file for committee review, and keeps watching licenses, certifications and exclusions after appointment. Every verification is recorded with its source, date and the person responsible, so the file is ready when surveyors ask for it.

The problem it solves

Credentialing is one of the slowest steps between hiring a practitioner and that practitioner seeing patients. Much of the delay is clerical: chasing documents, checking the same sources by hand, and moving paper files between committees.

  • Applications arrive incomplete, and specialists spend their time chasing missing documents by email and phone.
  • Primary-source checks are repeated by hand across many websites, with screenshots saved in shared drives that are hard to audit.
  • Committee packets are assembled manually, so the medical staff office works around meeting dates instead of the file being ready when it is complete.
  • Expiring licenses, certifications and exclusion matches are found late, sometimes only when a practitioner is already scheduled.

Who uses it

  • Medical staff services professionals and credentialing specialists
  • Department chairs who recommend privileges
  • Credentials committees, medical executive committees and boards
  • Practitioners applying for appointment and reappointment
  • Payer enrollment and EHR access teams, who receive verified data

Workflows

The principal workflows

  1. Application

Practitioners complete an online application, attest, and upload documents. Information they have given before is carried forward at reappointment.

    • The medical staff office invites the practitioner by email to a secure application.
    • The practitioner enters education, training, work history, licenses, certifications and references, and uploads supporting documents.
    • Required items are checked before submission, so gaps are fixed by the practitioner rather than chased later.
    • The practitioner signs the attestation and release electronically.
    • The file opens for the credentialing specialist with everything received listed against what is required.
  2. Primary-source verification

Licenses, board certification, DEA registration and exclusion lists are checked automatically where the source allows it; anything else is queued for a specialist, with the result recorded the same way.

    • The portal runs automated lookups against the sources that support them and saves each result as a document.
    • Sources without automated lookup become tasks for a specialist, with the source and what to record.
    • Reference requests and peer letters go out by email, with reminders until they are returned.
    • Any adverse finding, gap in history or mismatch is flagged for the specialist to review and explain.
    • The specialist confirms the file is complete before it moves to review.
  3. Committee review

A complete file, with anything needing attention flagged, goes to the department chair, credentials committee and board in turn, with privileges requested against each department's criteria.

    • The practitioner requests privileges on the department's delineation form, with the criteria for each privilege shown.
    • The department chair reviews the file and recommends privileges, with any conditions.
    • The credentials committee reviews the packet and records its recommendation.
    • The medical executive committee and board approve, with each decision and date recorded.
    • The practitioner and downstream teams are notified of the approved privileges.
  4. Ongoing monitoring

Expiring licenses and certifications, periodic exclusion checks, reappointment cycles, and focused and ongoing professional practice evaluations.

    • Expiry dates for licenses, certifications and registrations trigger reminders to the practitioner and the specialist.
    • Exclusion lists are rechecked on the schedule your policy sets, and any match is flagged immediately.
    • Focused professional practice evaluations for new privileges are tracked to completion.
    • Ongoing professional practice evaluation data is recorded against each practitioner.
    • Reappointment opens on the cycle your bylaws set, pre-filled from the current file.

How access is controlled

  • Segregation of duties: the people who verify a file do not recommend or approve privileges, and each recommendation and decision is recorded under the name of the person or committee that made it. Peer review content is shown only to roles that need it, so the organization can protect its confidentiality under its own state's peer review law.
  • Roles are scoped by department: a department chair sees only their department's files, and each department can have its own privilege forms and criteria, configured during implementation with the medical staff office.
  • Access is reviewed periodically by managers and administrators, time-limited access for surveyors and auditors ends automatically, and every permission change is recorded in the audit trail with who made it and when.
  • Practitioners are external users: they sign in to see and complete only their own application and documents, and never see verification results, references or committee discussion.

Exports, access and evidence

  • Any report can be exported to spreadsheet or PDF, and recurring reports can be scheduled to arrive by email for the people allowed to see them.
  • Medical staff services managers can build their own filtered views and save them for their team, without asking Moraph to write a report.
  • Report data is available through the Moraph Work API and scheduled extracts, so it can feed your data warehouse or business intelligence tools alongside other hospital data.
  • Reports respect roles: department chairs see their own department, surveyors and auditors get read-only access to the evidence they ask for, and peer-review and evaluation content is limited to the people your bylaws allow.
  • Reports can be run as of a past date, so a file can be shown as it stood at the time of a decision, and every report run and export is recorded in the audit trail.

Implementation

What a rollout involves

The general phases are on Working with Moraph. For this product, they involve the following.

Bylaws and policy review

We map your bylaws, credentialing policy and rules and regulations to the workflow, approval steps and reappointment cycle.

Application and forms

We configure the application, attestation questions and required documents for each practitioner type, with your medical staff office.

Privilege forms

Department delineation forms and criteria are set up with each department chair, who approves their own.

Verification sources

We confirm which sources can be checked automatically for your states and specialties, and set up specialist tasks for the rest.

Data migration

Current practitioner files, expiry dates and approved privileges are moved from your existing system and reconciled with your team.

Training and go-live

Specialists, managers, chairs and committee members are trained on their own part of the workflow before go-live.

Limitations

What it does not do

Worth knowing before you evaluate it.

  • Some licensing boards and certifying bodies offer no automated lookup. Those verifications are completed by a specialist and recorded in the portal.
  • National Practitioner Data Bank queries are made by your organization under its own NPDB registration. The portal records the result.
  • It hands verified information to payer enrollment but does not submit enrollment applications to payers.
  • It is not a credentials verification organization. Moraph does not perform verifications on your behalf or certify your files.
  • Professional practice evaluation data is recorded in the portal; it does not extract quality measures from your EHR.
  • Privilege criteria and forms are owned by your departments and must be kept current by your medical staff office.
  • It does not manage practitioner scheduling, payroll or contracts.
  • The workflow supports accreditation standards; meeting them remains your organization's responsibility.

Evaluation checklist

What to test in a demonstration or pilot

Questions worth putting to us, and to any other vendor you are considering.

  1. Which of your verification sources can be checked automatically, and how are the rest handled?
  2. How does the portal reflect your bylaws, committees and reappointment cycle?
  3. How are department privilege forms and criteria set up and maintained?
  4. What does a surveyor see when asking for evidence of a verification?
  5. How are approved privileges passed to the EHR access and enrollment teams?
  6. How are existing practitioner files migrated and reconciled?

Questions

Frequently asked questions

Which sources can the portal check automatically?

State licensing boards that offer online lookup, the OIG exclusion list, SAM.gov exclusions and the NPPES NPI registry. During implementation we confirm which sources apply to your states and specialties; anything without automated lookup becomes a specialist task recorded the same way.

Can we query the National Practitioner Data Bank from the portal?

Queries are made by your organization under its own NPDB registration. The result is uploaded to the practitioner's file and included in the committee packet.

Can it handle several hospitals or medical staffs?

Yes. Each facility or medical staff can have its own forms, privilege criteria, committees and approval steps, while shared verifications are done once.

How do practitioners use it?

Practitioners complete their application and privilege requests online through a secure account, and receive reminders when documents are about to expire or reappointment opens.

Can we bring our existing files across?

Yes. Current practitioner records, expiry dates and approved privileges are migrated during implementation and reconciled with your medical staff office before go-live.

Does it replace our credentialing staff?

No. It removes repetitive lookups and document chasing so specialists spend their time on review, follow-up and judgment.
