Ambulance Run Data Sync

Ambulance Run Data Sync receives electronic patient care report (ePCR) data from the EMS agencies that bring patients to your emergency department and turns it into a pre-arrival record on the ED tracking and trauma screens. Your charge nurse and trauma team see the mechanism of injury, vital signs, treatments given and estimated arrival while the unit is still en route, and decide how to prepare. After arrival the record is matched to the registered patient and the completed run report is filed to the chart.

Principal workflows

  • Receive: When a crew marks your hospital as its destination, the agency's ePCR system sends the run data as it is documented, and the record updates as the crew adds vital signs and treatments.
  • Prepare: Pre-arrival records appear on the ED incoming board and, where configured, on the trauma screen, with the information the charge nurse needs to assign a room and decide whether to call a team.
  • Match: On arrival, registration links the pre-arrival record to the patient's quick or trauma registration in your EHR, so the run data follows the right patient.
  • Complete: When the crew finalizes its ePCR, the completed run report is filed to the patient's chart and made available to the trauma registry and to the EMS liaison for follow-up.

Who uses it

  • Emergency department charge nurses and physicians who prepare for incoming patients
  • Trauma teams and trauma program managers at designated trauma centers
  • Patient registration staff who create quick and trauma registrations
  • EMS coordinators and hospital EMS liaisons who work with regional agencies
  • Trauma registrars and quality staff who need complete run reports

Reporting

  • Incoming and arrived units by agency and shift
  • Unmatched records and missing run reports
  • Activation decisions for trauma performance improvement
  • Prehospital intervals for trauma patients
  • Agency data quality and connection status
  • Access to run data for privacy review

Features

  • Incoming patient board: One view of every unit heading to your ED, with chief complaint, estimated arrival, latest vital signs and the agency's contact details.
  • Live updates en route: Vital signs, treatments and medications added by the crew after the first message are shown on the same record, with the time each was documented.
  • Trauma screen pre-population: Mechanism of injury, injuries noted, Glasgow Coma Scale, vital signs and prehospital interventions placed on the trauma screen before arrival.
  • Field-triage highlighting: Records that meet the field-triage criteria your trauma program configures are highlighted for the charge nurse to review; the activation decision stays with your staff.
  • Activation record: The decision to activate or not activate a trauma or specialty team is recorded with who made it, when and on what information.
  • Patient matching: Suggested links between arrived units and quick or trauma registrations, confirmed by a person, with unmatched records kept in a work list.
  • Run report filing: The finalized ePCR is filed to the patient's chart as a document on the encounter, with the agency, unit and finalization time.
  • Agency directory: The EMS agencies connected to your hospital, the units they send, how their data arrives and the contacts for follow-up.
  • Missing report tracking: Arrivals without a finalized run report, listed by agency and age, so the EMS liaison can follow up.
  • Trauma registry handoff: Prehospital times, vital signs and interventions made available to your trauma registry software in the fields registrars abstract.
  • EMS outcome feedback: Structured outcome summaries for the transporting agency, released by your staff under your disclosure policies.
  • Data quality view: Fields that agencies routinely leave blank or send late, by agency, to support conversations with your EMS partners.

Integrations

  • EMS ePCR systems: Run data from the ePCR systems your regional EMS agencies use, by API or NEMSIS Version 3 format messages, connected agency by agency during implementation.
  • EHR and ED tracking board: Pre-arrival summaries shown in or alongside your ED tracking board, and finalized run reports filed to the encounter through HL7 or FHIR interfaces.
  • Trauma registry: Prehospital times, vital signs and interventions made available to your trauma registry software for abstraction.
  • Paging and clinical messaging: Team activation and arrival notifications sent through the paging or secure messaging system you already use.
  • Health information exchange: Where your region exchanges EMS data through a health information exchange, the product can receive run data from it instead of from each agency.
  • Single sign-on: Staff sign in through your identity provider (SAML or OpenID Connect).
  • Work API: Pre-arrival, match and activation data available to your data warehouse through the Moraph Work API.

Deployment

  • Moraph cloud: Hosted and operated by Moraph in the United States region, with interfaces to your EHR and to agency ePCR systems.
  • Dedicated environment: A single-tenant environment for health systems whose policies require isolation, scoped in the proposal.
  • Regional deployment: One deployment shared by several hospitals in a region or health system, with each hospital seeing only the units bound for it.

Security and privacy

  • Single sign-on: Staff sign in through your identity provider, so your password and multi-factor policies apply.
  • Role-based access: What each person sees follows their role and department; registration sees what it needs to match, not the full clinical record.
  • Business associate agreement: Moraph signs a business associate agreement with your organization, because the product processes protected health information.
  • Encryption and keys: Data is encrypted in transit from EMS agencies and at rest, with keys Moraph staff cannot use without explicit, time-bound authorization.
  • Complete audit trail: Every message received, view, match, filing and feedback release is logged with the person or system and time, and cannot be edited.
  • US hosting: Data is hosted in Moraph's United States region; every release passes security testing gates and ships with a software bill of materials.

Limitations

  • It is not an ePCR system. EMS crews document in their own software, and the product shows what that software sends.
  • Pre-arrival information depends on each agency connecting, its crews documenting en route and network coverage along the route. A radio or phone report remains necessary when data does not arrive.
  • It does not decide whether to activate a trauma or specialty team. Highlighting follows rules your trauma program sets, and the decision is made and recorded by your staff.
  • It does not replace your EHR or ED tracking board; it adds pre-arrival information to them.
  • It is not a computer-aided dispatch or ambulance tracking system. Estimated arrival times are those the crew or its software sends.
  • Patient matching is confirmed by a person. Records that cannot be matched stay in a work list until resolved.
  • Outcome feedback to EMS agencies is released only by your staff under your disclosure policies; the product does not decide what may be shared.
  • It is designed for US emergency departments and the NEMSIS Version 3 standard; EMS data standards in other countries are not included.
